Topic 5: Top LLM tools for PMs & BAs
Top LLM tools for PMs & BAs
Many LLM tools are available today, but not all are useful for the same kind of work.
As a Product Manager or Business Analyst, you do not need to become an expert in every AI tool. What matters is knowing which tool helps with which type of job, then choosing the one that fits what you are trying to achieve.
Here are five useful LLM tools to know.
ChatGPT: Everyday product & BA work
ChatGPT is a good general-purpose tool for a wide range of everyday product and BA activities.
You can use it to:
- brainstorm and explore ideas
- analyse customer feedback
- draft and improve requirements
- create user stories and acceptance criteria
- summarise documents
- analyse uploaded files
- structure workshops or meetings
- challenge your thinking
- research topics using web search
For many PMs and BAs, ChatGPT can become a useful starting point for everyday AI-assisted work.
Claude: Documents & deep analysis
Claude is particularly useful when you are working with detailed information and want to analyse, organise or improve it.
For example, you might use Claude to:
- analyse a long requirements document
- review research or workshop outputs
- identify themes across large amounts of text
- compare different documents
- improve the structure of a business or product document
- explore a complex problem in depth
It can be especially useful when your work involves reading, understanding and working through substantial amounts of information.
Gemini: Research & Google Workspace
Gemini is useful for research and for people who already work heavily within the Google ecosystem.
You might use it to:
- research a market or topic
- explore competitors
- investigate an unfamiliar industry
- summarise and analyse information
- work with information from Google services
- conduct deeper research across multiple sources
For teams already using Google Workspace, Gemini can fit naturally into existing ways of working.
Microsoft Copilot: Everyday workplace productivity
Microsoft Copilot is particularly relevant if your organisation uses Microsoft 365.
It can support work across familiar applications such as Word, Excel, PowerPoint, Outlook and Teams.
For a PM or BA, this could mean using AI to help:
- work with documents
- analyse spreadsheets and data
- prepare presentations
- summarise emails
- understand meeting discussions
- draft or improve workplace content
Its value comes from bringing AI closer to the tools many organisations already use every day.
Perplexity: Research & evidence
Perplexity is useful when your task involves research and you want to understand where the information came from.
It searches the web and provides links to the sources supporting its responses.
This can make it useful for:
- market research
- competitor research
- industry trends
- exploring unfamiliar topics
- finding supporting evidence
- identifying sources for further investigation
Remember that seeing a citation does not automatically make the information correct. You should still open important sources and check the evidence yourself.
You do not have to choose just one
The goal is not to decide that one tool is the winner.
You might use Perplexity to research a market, Claude to analyse a large document, ChatGPT to develop ideas and requirements, and Copilot or Gemini when working within your organisation’s existing technology environment.
As you become more comfortable with AI, think less about “Which AI tool is best?” and more about “Which tool is best for the job I am doing right now?”
DSM Tip
Don’t limit yourself to one LLM tool.
Learn the strengths of a few good tools and choose based on the job you need to do. Whatever tool you use, review important outputs and apply your own professional judgement before using them in your work.
